4505 Meats

www.4505meats.com
Chef Ryan Farr and his wife, Cesalee, founded 4505 Meats in January of 2009. While working as a classically trained chef and heading a Michelin Star restaurant, Ryan developed his artisan butchery techniques and created unique ways of expressing his love for all things meaty. Ryan's experience and voracious appetite are an ideal complement to Cesalee's creativity, style, and overall vision for the company. The name 4505 is a tribute to a fellow chef and dear family friend, Davin Autrey, who influenced many people with his message to keep it real and always follow your stomach.
>challenge
A historical record of Orders and Purchase Orders was required, one which would facilate calculations of goods sold. Inventory was not formally tracked. Prep sheets were required:as a shopping list as a guide to kitchen staff for preparing a given set of Orders. Frequent, but neccesary updates to the web store were tedious, as was manually recording orders received through the website. A mobile sales force required immediate access to contact information, order history and creation.
>solution

A Contact and Resources Management (CRM) application, tailored specifically to the their industry, was developed in FileMaker. The solution manages contacts, orders, purchase orders, recipes, and inventory. Invoices, purchase orders and prep sheets are generated and emailed directly from the database. Costs of Goods are calculated automatically per item, recipe, order, andintegral in calculating (and charting) gross sales margins.

A closed loop between the database and the website has both hastened the release of new products to market, and relieved a burden of manual entry of orders. The web store is populated with items, images, and descriptions from the database; while, web orders are entered directly into the database as the purchase is being made.

An interface was specifically tailored for FileMaker Go, on the iPhone, allowing unadultered access to the solution in a format friendly to the platform. All areas of the database are accessible, including modifying items available in the web store, providing a powerful mobile tool.

Bay Wild

www.baywild.com
Bay Wild is a project to provide a deep exploration of how humans and wildlife coexist side by side in the San Francisco Bay Area. A fundamental goal of this project is to move forward the dialogue of scientists, agencies and communities working on behalf of wildlife in populated areas throughout the Bay Area.
>challenge
An ambitious project to catalogue species, issues, locations, and the the hotspots at which they all intersect. Contact management required to track contacts and their roles/relationships to other aspects of the project. Project management including scheduling meetings, interviews, shoots, and scheduling resources; asset management, specifically logging video footage.
>solution
Filemaker v 9.0 solution tracks contacts, projects, locations, issues, and video clips; with, any aspect of the data being linkable to any other aspect, without limit . For example, a logged video clip (video clip) has a location (location), can have interviewees and other participants (contacts), be about a particular issue (issue), and certainly a project (project). Any link is viwable and editable from both e ends of the link. Links with contacts also have a 'role'; additionally, links between contacts have reversable 'relationships' (ie. parent/subsidiary). Tailor built functions to track, log, and calculate timecode ( hh : mm : ss ; ff ); adjustable framerate.

Betsy Barron

www.betsybarron.com
An inherent love of art and fashion motivated Betsy Barron to study at the Rhode Island School of Design where her artistic vision developed. In a setting where jewelry was regarded as an art form, Betsy found her medium. Influenced greatly by her environment she incorporates found objects from a twig or seed observed on a walk to an old button found in a corner of her grandmother's dresser drawer. Conscious yet indifferent of trends, Betsy's work has an integrity that reflects her artistic commitment. Her choice of quality materials, as well as her exacting production process, enables a purity of expression and simplicity of form which has a beauty that endures. Her goal is to create jewelry that will last forever. Special pieces become tomorrow's heirlooms.
>challenge
Currently used accounting software (MYOB) was coming up short in tracking a growing number of pieces, and the components required to craft them. Required was a means to translate vendor orders for specific poeces into a "shopping list" for raw materials.
>solution
A jewelry building application was developed; wherein, raw materials, their variants, and prices are initially entered. Pieces are then built up from these materials. Material summaries are generated; costs, labor, and wholesale prices are calculated. Images (ie. sketches, photographs) can be attached to a pieces record. Vendor orders are entered, and material lists generated.

>challenge
Existing solution was originally developed 10+ years ago in FileMake Pro 6. The seven related files were later converted to FileMaker Pro 9, but not consolidated. The solution had been honedover the years to meet the specific requirements of the publisher; however, it remained big, sluggish, inelegant, and lacking some helpful features.
>solution
Table consolidation and optimization. Multiple files were consolidated into a single file solution. Jetisoned were unused fields, scripts, and reports. Relationships between tables reinforced, with "best practices" observed; data normalized. Interfaced was completely overhauled.

Fray

www.fray.com
Fray is a quarterly series of independently produced books. Each is based on a central storytelling theme, and include personal stories, articles, and original art.
>challenge
A new publication, with new subscription coming in every day, Fray needed a database quick. They required the abiltiy to track subscribers, purchasers and retailers of varying levels, including gift subscriptions and merchandise. All subscriptions are processed by PayPal through the publication's website; automated import of these transactions was a must.
>solution
A loose publishing schedule meant subscription needed to be based on reciept of specific issue, not expiration dates, thus, individual issues, thier publish dates, subscription/purchase stats are tracked. Paypal transactions are imorted with as little as a single button press, generating new subscriber records, matching with existing, creating subscriptions, gift subscriptions, and purchases. Opportunity is provided to mark PayPal transactions with questionable or missing data for future followup, with automated emails sent requesting specific clarification from the subsciber/purchaser.

www.georginarice.com
Georgina Rice & Co. was started in 1987 as a retail decorating and textile import shop in the Richmond district in San Francisco. The company opened a workroom to serve their clients, constructing curtains, roman shades, pillows, bedding, and other soft goods for the home. In 1999, they expanded their services to include interior design, space planning, custom cabinetry and furniture design.
>challenge
Existing Filemaker v5.5 solution did not conform to "best practices" and inherently led to data integrity issues. Solution tracked orders, but not the estimates they were based on. Estimates were created in Excel and re-entered in Filemaker as an order.
>solution
"Best practices" introduce into solution (i.e. unique estimate/order numbers, infinite number of line items in estimates/orders). HealthPoint Communications

www.healthpointcommunications.com
Health-oriented behavioral interventions; patient education; interactive, multimedia cancer education kiosks; health education content for digital signage.
>challenge
PreTest survey to be conducted on-site, screening respondants eligibilty for a colon cancer study. Bilingual survey, English and Spanish. Database required to ensure data integrity for later analysis by statistician. Data is gathered in multiple sites, and needed to be culminated in the central office. Need a secure file that would limit the ability to edit/alter survey data.
>solution

An essentially two file solution was developed including a data collection file, and a master filewithin which to pool all the data.

The data collection file is used by Research Assitants (RA) offsite, to gather survey data. A tightly integrated interface leads the RAs through the process of conducting the survey providing: on-screen scripts, prompts, and a constrianed step-by-step guided questionnaire. Survey answers are validated to ensure that a value exists, constrianed to a range, and/or value length where applicable. Measures are in place to ensure that there are no incomplete or inconsistant surveys. Compete, 75 question, survey is available in English and Spanish; the language can be switched, mid-survey,at the click of a button. Additionally, surveys can be paused and continued at a later time. Upon completion of survey, it's automaticallyand randomly assigned to one of two groups.

Data files are transmitted back to the home office, on a weekly basis, with a single button press. At the home office, new survey records are imported into the master file with another button press.

Jadevolution, Inc.

www.jadevolution.com
New York based designers, makers and purveyors of custom jewelry.
>challenge
Startup company had no system in place to store piece designs for pricing and later reproduction. They required an inventory system for the raw materials that go into building their jewelry pieces, to retreive locations of materials and track stock.
>solution
A jewelry building application was developed; wherein, raw materials, their variants, and prices are initially entered. Pieces are then built up from these materials. Material summaries are generated; costs, labor, and wholesale prices are calculated. Images (ie. sketches, photographs) can be attached to a pieces record. Images are also attached to material listing, for easy identification. meatpaper

www.meatpaper.com
Meatpaper is a print magazine of art and ideas about meat. Meatpaper aims to respond to what the editors term the “fleishgeist,” an increased interest in and curiosity about meat. Issue Zero featured a world map made of Spam as well as an article by Fulbright recipient John Caserta about the annual pig slaughter in a small Italian town.
>challenge
A new publication, with no existing database solution, but an urgent need to start tracking data, meatpaper presented a blank slate. Required were subscriber, advertiser, retailer and sponsor databases. The database needed to handle gift subscriptions, tracking gifter and giftee, as well as multiple supscription tiers. Invoices for advertisers and statements for subscription payments were required.
>solution

A branded Filemaker v8.5 solution was developed to track all aspects of the publication. Contacts are filtered into four main catagories (subscribers, advertisers, retailors, event sponsors), any number of which a contact can be a member of. Allowance for gift subscription and automation in determining "current through" status based on payment history. Invoices and statements replicated InDesign templates already being used by client. Integration with external bulk mail sorting application and printing of bulk sorted shipping labels.

UPDATE: Solution is currently hosted remotely and tied into the meatpaper website. Store content on the site is generated dynamically, absed on database records. Oreders placed through the website are collected, live, into the FileMaker database. Payments are processed through PayPal, with PayPal Instant Payment Notications (IPN) directed back to the database.

>challenge
Required was a comprehensive solution, tracking part construction, quotes and invoices. Part construction involves many options, necessitating flexibility in assembling quotes. Invoices are derived from quotes.
>solution

Owner, John, is versed in FileMaker developing and simplly needed some assistance getting their solution off the ground. Relationships and schema were defined; upon which, basic screens and scripts were built. Very little resources were spent on interface development, deferring that to John's expertise.

Foundation consists of Client, Job, Quote, and Invioce relationships. Jobs have parts. Parts can have multiple options. Parts are assembled into Quotes. Invoices are derived from Quotes. Printed Quotes and Invoices can have an infinite number of parts, each with a nearly endless number of options.

San Francisco Bike Messenger Association

www.sfbma.org
Formed in the winter of 1990, the San Francisco Bike Messenger Association(SFBMA) exist to promote unity within the messenger community and raise the self and outward status of their profession. Anyone working in the San Francisco messenger industry (bike/scooter/car/walking/motorcycle messengers, ordertakers, dispatchers, etc.) is automatically a member of the SFBMA. A "Broken Bones Fund" is maintained by the SFBMA to provide emergency financial assistance to injured San Francisco messengers.
>challenge

The SFBMA has sponsors/donors in the form of venues for events, merchandise for race prizes, and sign/ t-shirt printing just to name a few. There was no accurate and centrally maintained list; rather, individual members and officers were relied upon who had "connections". Similarly, there existed no central list of members, their contact information or dues payments; instead, they relied on date marked cards carried by individual members.

>solution

First, a Sponsor database was initiated that serves as a repository for any artwork and logos, also filled the need for a means to retain a list of prospective donors and donation histories. Acknowledgement letters and receipts can be automatically generated from the database.

Next, a Membership database was put in place that serves primarily to track dues payments, membership status and donations. Members contact information and demographical data are also collected that allow the SFBMA to run analyses of the messenger community's make-up. Other function include tracking disbursements of "Broken Bones Fund" monies to members, and reimbersements to the fund .

Tenderloin Health

www.tlhealth.org
"Tenderloin Health" is the new agency resulting from the merger of Continuum HIV Day Services (Continuum) and the Tenderloin AIDS Resource Center (TARC). Their mission is to optimize the health of the Tenderloin’s homeless, poor and most vulnerable residents. They serve those living with and at the greatest risk of acquiring HIV/AIDS, who have difficulty obtaining services elsewhere, especially due to substance use, mental illness, sexual orientation, gender identity, race and ethnicity, and/or other social barriers.
>challenge
Complex existing client management system required extensive maintenance, not the least of which being new demographic reports. An agency merger meant new management teams with new perspectives and requirements from the database.
>solution

Maintained and revised database tracking all aspects of client care: housing, case management, physical and mental health status, substance use, medical attention. Provided Client referral functionality that tracks referrals to outside agencies and subsequent follow-up. Web integration for automated mapping. Created new Volunteer database simplifying data entry, access to contact information, and demographic reporting. Tracks Volunteer training, availability and hours worked. Worked with another developer to provide a “press of a button” electronic submission of data to the Department of Public Health.

Tippett Studio

www.tippett.com
Tippett Studio is an Academy Award®-winning visual effects company specializing in computer-generated imagery for movies and television commercials. Founded in 1984 by animation pioneer Phil Tippett, they now employ over 200 talented artists and technicians in Berkeley, California. Fostering a non-corporate, hands-on, filmmaker-friendly environment, they're driven by their passion for picture making and inspired by such diverse disciplines as choreography and pantomime, painting and sculpture - finding inspiration in the works of the past but always reaching for the future.
>challenge
During the pre-production phase of a film, large amounts of art are produced requiring Director approval. These include sketches, paintings, models and staged photographs of models. Tippett required a means to catalogue/codify these materials, attach the Director's notes, and track the progress for each character/piece.
>solution
Filemaker 4 solution that acts as a digital repository for scanned artwork. Catalogue numbers are automatically imprinted on hard-copy printouts that are presented for approval. Related pieces are easily found. Character progress in approval stages represented graphically.

Wheels of Justice

www.proserver.com
Wheels of Justice is a San Francisco based Litigation Support Service started in 2001 by Scott Simons and Matt Flores. Having both previously owned their own companies as well as having worked in the industry for many years, they had a fairly good idea of the ideal company. With an emphasis on an experienced and knowledgeable staff, services include Process Service, Court Research, Document Production and Messenger Service.
>challenge
Existing Filemaker 6 solution needed a more polished method for finding and entering client's into invoices. Invoice workflow is ineffeicient, prone to errors and duplicates, and based on memorization. Exploring possible web implementations.
>solution

Introduced new methodoligy for finding/editing/selecting clients, vendors and servers. Streamlined selection of fields that are directly related to the already entered firm/client (e.g. attorneys, secretaries).

Eventually, an entirely tailor built in FileMaker 9 application was provided. Job tracking and invoicing have been linked to, but are mutually independant of, a dispatching module. The dispatching module drives a calendar. The calender is subscribed to from iCal; such that, changes in dispatching are reflected in iCal.

Additional features include extensive audit logging, linking to external files AND folders, web mapping of multiple addresses, and a defineable visual indicator of a job's completion pipeline. A comprehensive settings panel for modifying database behavior, appearance, and available assets provides a high degree of control to the end user.
